Privacy Policy

Effective Date: 15 January 2025

At xanoretvipo, we handle your personal information with care. This policy explains what we collect, why we collect it, and how we protect it when you use our financial analysis tools and software.

We're based in Australia and follow the Privacy Act 1988 (Cth), including the Australian Privacy Principles. If you're outside Australia, different rules might apply – we'll explain those where relevant.

Information We Collect

Information You Give Us Directly

When you sign up for xanoretvipo or use our services, you provide certain information. This includes your name, email address, phone number, and company details. If you contact our support team at Gibbons Pavilion in Bruce, we'll keep records of those conversations too.

Financial data is a bit different. You choose what to upload into our analysis tools – this might include transaction records, budget spreadsheets, or accounting files. We process this data to give you insights, but we don't own it. You do.

Information We Collect Automatically

Like most online services, we gather technical information when you use our platform. Your IP address, browser type, device information, and how you navigate through our software all help us understand what works and what doesn't.

We use cookies and similar tracking technologies. Some are essential – they keep you logged in and remember your preferences. Others help us improve the service by showing us which features people actually use.

Your Financial Data: The financial information you upload stays yours. We process it to run our analysis tools, but we don't sell it, rent it, or use it for anything beyond what you've asked us to do.

How We Use Your Information

We use your information for specific purposes:

  • Service delivery – Running the financial analysis tools you've subscribed to, processing your data, and providing accurate results
  • Account management – Keeping your account secure, handling billing, and communicating about your subscription
  • Product improvement – Understanding how people use our software so we can make it better (we anonymize this data)
  • Customer support – Helping you when things go wrong or answering questions about features
  • Legal compliance – Meeting our obligations under Australian law and protecting against fraud

We don't use your financial data for marketing purposes. That's not what you signed up for, and we respect that boundary.

Direct Marketing

Occasionally, we'll send you information about new features or updates to our financial analysis tools. You can opt out of these at any time through your account settings or by clicking unsubscribe in any email we send.

Sharing Your Information

We don't sell your data. Full stop. But we do share information in specific circumstances:

Who We Share With What We Share Why
Cloud hosting providers Technical and account data To keep our platform running and your data accessible
Payment processors Billing information To handle subscription payments securely
Analytics services Anonymized usage data To understand how our software is performing
Legal authorities Required information only When legally obligated or to prevent fraud

All third parties we work with sign agreements requiring them to protect your information and use it only for the purposes we've specified. We're picky about who we partner with.

International Transfers

Some of our service providers operate outside Australia, particularly cloud infrastructure companies. When we transfer data overseas, we ensure adequate protections are in place – either through contractual safeguards or by using providers who comply with recognized privacy frameworks.

Your Rights and Choices

Under Australian privacy law, you have several rights regarding your personal information:

Access and Correction

You can request a copy of the personal information we hold about you. If it's inaccurate or out of date, you can ask us to correct it. Most account information can be updated directly through your dashboard.

Deletion

You can ask us to delete your personal information. We'll comply unless we need to keep it for legal reasons – like financial records we're required to maintain under tax law. When you close your account, we delete your data within 90 days, except for information we're legally required to retain.

Data Portability

You can download your financial data in standard formats (CSV, Excel) at any time through your account. This is your data, and you should be able to take it elsewhere if you choose.

Making a Request: To exercise any of these rights, contact us at contact@xanoretvipo.com or call +61 470 238 428. We'll respond within 30 days and verify your identity before processing the request.

Complaints

If you're unhappy with how we've handled your information, please let us know first. We take complaints seriously and will investigate promptly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.

Data Security

We protect your information using industry-standard security measures. This includes encryption both in transit and at rest, regular security audits, and strict access controls within our team.

Specific security measures include:

  • 256-bit SSL encryption for all data transmission
  • Encrypted database storage with regular backups
  • Multi-factor authentication options for account access
  • Regular penetration testing by independent security firms
  • Employee training on data protection and privacy practices
  • Restricted access to personal information on a need-to-know basis

Despite our precautions, no system is completely secure. If we discover a data breach that's likely to result in serious harm, we'll notify affected users and the Australian Information Commissioner as required by law.

Your Security Responsibilities

You play a role in security too. Choose a strong password, don't share your login credentials, and log out when using shared devices. If you think your account has been compromised, contact us immediately at contact@xanoretvipo.com.

Data Retention

We keep your information for as long as your account is active, plus a reasonable period afterward to handle any issues that might come up. Different types of data have different retention periods:

Data Type Retention Period
Account information Duration of account plus 90 days after closure
Financial data you've uploaded Duration of account plus 30 days after closure
Billing records 7 years (Australian tax law requirement)
Support communications 3 years after last contact
Anonymized usage data Indefinitely (no personal identifiers)

These periods reflect both legal requirements and practical needs. For example, we keep billing records for seven years because Australian tax law requires it, not because we want to.

Children's Privacy

Our financial analysis tools are designed for business use and aren't intended for individuals under 18. We don't knowingly collect information from children. If we discover we've inadvertently collected such information, we'll delete it promptly.

Changes to This Policy

We update this policy occasionally – usually when we add new features or change how we handle data. When we make significant changes, we'll notify you via email or through a prominent notice in your account dashboard.

The effective date at the top of this page shows when the current version came into effect. We recommend checking back periodically, especially if you haven't reviewed it in a while.

Third-Party Services

Our platform may integrate with third-party financial services or accounting software at your request. When you connect these services, you're also agreeing to their privacy policies. We're not responsible for how those third parties handle your information, so read their policies carefully.

We don't provide your data to these services unless you explicitly authorize the connection. You can revoke these connections at any time through your account settings.

Questions or Concerns?

If anything in this policy is unclear or you have specific questions about how we handle your information, we're here to help.
